# Process Capture & AI Readiness

# Everyone's Telling You to Use AI.
Nobody's Telling You Your Process Isn't Written Down Yet.

So there's nothing for it to learn from. We capture how your business actually works first, then build the automation and AI on top of that — not the other way around.

## The Problem

Your business's most valuable asset lives in one person's head

### Key person risk

Pricing and process knowledge sits with one or two people. When they're out or leave, the business stalls and loses work it could have won.

### Slow, inconsistent quoting

Bids go out late and priced by feel. Some jobs are won at a loss, others are priced too high and lost.

### No foundation for AI

Processes are undocumented, so there's nothing for software to learn from. Digital tools fail before they start.

6+ months

to replace your most experienced person's quoting speed after they leave

Every week of that gap is misquoted work: jobs won at a loss, jobs lost on price, and work turned away. That gap is also what blocks AI: if nothing is written down, there's nothing for it to learn from.

## How It Works

Document before you automate

01

### Capture

One week on site. We get one critical process out of your most experienced person’s head and into a written asset your business owns — not a slide deck, something you can actually use.

02

### Build

We build automation and workflows around the process we captured — customer support, sales follow-up, internal operations — using whatever tools fit. This is where automation belongs: after the process is written down, not before.

03

### Train

Where AI makes sense, it’s trained on your own captured logic — not a generic model guessing at how your business works.

### Examples of what gets built once a process is captured

### Customer Support

- Email triage and categorisation
- AI-assisted responses using company knowledge
- Human-in-the-loop escalation
- Live deployment with monitoring

### Sales & Revenue

- After-hours inquiry handling
- Lead routing and prioritisation
- Automated follow-up workflows
- CRM-integrated execution

### Internal Operations

- Email and task categorisation
- Cross-system automation
- Manual process elimination
- Audit-friendly workflows

## How Engagements Are Shaped

Most consultants leave you a report. We leave you a written process your business owns, and then we build on it. You get a clear figure on the discovery call.

### Process Capture

One week, on site

One week on site, one critical process. You end up with a written process document and a shortlist of what to automate first — yours to keep, even if you never build anything with us

Includes:

- ✓One week on site with your most experienced person
- ✓A written process document: every step and every judgement call, in plain English
- ✓A shortlist of what to automate first, and what to leave alone
- ✓A note of what breaks if that person is out or leaves
- ✓The document is yours to keep, whatever you decide next

### Build & Implementation

2–6 weeks, fixed scope

A fixed-scope project, typically 2–6 weeks: one workflow from your captured process, built, tested, and live

Includes:

- ✓Complete design and build
- ✓System integration
- ✓Testing and validation
- ✓Production deployment
- ✓Documentation and training

### Ongoing Retainer

Monthly, cancel any time

A monthly agreement. We keep what we built running and add new workflows as you need them. Cancel any time.

Includes:

- ✓We keep what we built working
- ✓We fix what breaks
- ✓New workflows added each month
- ✓A named person to call — the same one every time

**Note:** One project fee or one monthly fee, agreed before work starts. It covers planning, build, deployment and AI usage, so you never manage tools, usage limits or vendors.

AI Readiness Workshop

### Not ready for a week on site? Start with one day.

One day, at your place, with the people who run the business. We walk through how the work really flows today. Then we map where AI could help, where it would only get in the way, and which processes have to be written down before any of it can work.

You leave with that map in writing. It is the quickest way to find out whether Process Capture is worth doing — including finding out that it is not.

- One day, on site, with your leadership team
- A written map of where AI fits your business and where it does not
- The processes to write down first, in the order that matters
- A working day, not a talk — nothing to sit through

## Who you're working with

MetaBinary is Joseph Rose. He spent 20+ years building software for enterprise, and held C-suite roles at a manufacturing estimating software company. He built the world's first instant online metal-casting costing engine. You talk to him, not a sales rep.

## Frequently Asked Questions

### Do we need to be technical?

No. Process Capture is built for the people who run the business, not the people who run the software. We do the on-site work; you don’t need to know anything about automation or AI going in.

### What if we’re not ready for AI at all?

That’s exactly what Capture is for. If nothing is written down yet, there’s nothing for AI to learn from — so the writing down has to come first either way. Capture gets you that foundation, whether or not AI ever touches it.

### Is this different from the platform product?

Yes. Process Capture is available to any business. The platform is manufacturing-specific software — quoting, customer management, and scheduling — that Capture feeds into when relevant. If you’re a manufacturer, see the platform.

Need ongoing senior technical leadership rather than a one-off project? That is now a [MindFrag](https://mindfrag.ie) service.

Making parts, and quoting is the process that hurts? There's a version of this built around quoting: [engineered quoting for manufacturers](/labs).
